Role purpose • Provide a professional administration support and coordination service for the India D&A Team. • Provide excellent customer service (internally and externally) • Complete assigned administrative tasks as agreed in a timely, accurate way • Manage data organization and data management tasks Accountabilities • Support the annual D&A Team requirements planning and procuring. • Organize and manage data from across digital platforms • Conduct data cleansing and data integrity activities • Monitor accuracy and consistency of databases • Inter functional coordination like with procurement, legal, finance, HR and HSE. • Overall planning and coordination for the visitor management. • Supervising and distributing the daily post. • Responsible for logging and notification of goods received • Co-ordinate transport for visitors (taxis) • Responsible for ensuring accurate and timely ordering and invoicing for all stationery requirements and site provisions. • Ensure relevant email distribution lists are established and maintained accurately • Booking of hire cars on behalf of employees as required, liaising with the Site Services Manager • Administration and maintenance of company "Who's Who" database • Provide additional general clerical and administrative support • Ensure confidentiality of business affairs • Other ad hoc work as defined by any leader or team within the organisation. • Provide support for other members of the administrative team as requested. • Coordination of event managements. • Coordinate the lease and liaison with the legal team for agreement sign off. • Coordination of meetings and keeping the meeting logs. Critical knowledge • Good English communication and good interpersonal skills. • Data fluency and data management skills • Fully conversant with field operation and able to adapt to different systems quickly and efficiently • Fully competent with Microsoft Office suite including Outlook, Word, Excel, PowerPoint • Good negotiation skill and able to identify the source of supply of all requirements. • Good procurement and capable to derive payment terms and condition as per company policies.
