**Job Description Executive (PR to PO Process) - Biomedical Equipment Procurement.** **Job Title - Procurement Executive** **Department – Procurement** **Reporting To- Procurement Manager / Senior Manager – Procurement, Location** **Job Summary:** The Procurement Executive is responsible for managing the end-to-end procurement process, from Purchase Requisition (PR) to Purchase Order (PO). The role involves vendor coordination, Request for Quotation (RFQ) management, Purchase Order creation, Goods Receipt Note (GRN) processing, Sales Invoice verification, and ensuring timely procurement in compliance with organizational procurement policies. The incumbent will collaborate closely with internal stakeholders, monitor procurement activities, and ensure timely closure of procurement cases within the defined Service Level Agreements (SLAs). **Responsibilities:** - Create and process Purchase Orders (POs) in accordance with organizational policies and approval workflows. - Track PR-to-PO turnaround time and maintain procurement timelines. - Coordinate with vendors to ensure timely order confirmation and delivery. - Coordinate with stores, finance, and user departments for smooth procurement execution. - Maintain procurement records, vendor documentation, and audit-ready files. - Resolve vendor and procurement-related issues promptly. - Necessary mail/telephonic follow up with suppliers for submission of quotes within specified timelines. - Preparation of detailed quotes comparatives, based on submitted quotes against RFx, and sharing same with sourcing team to aide negotiation process. - Process purchase requisitions and purchase orders within defined for recurring requirement based on rate card. - Issuance of purchase order to approved suppliers. - Respond to internal Teams and suppliers’ inquiries about orders status, changes, or cancellations. - Internal communications are crucial in determining how things are accomplished in any organization. - Prepare procurement Tracker on real time basis and monitor pending PRs and POs. - Ensure compliance with company procurement policies and standard operating procedures. **Requirements:** - Must be able to work under minimum supervision, independently, in a dynamic & fast-paced environment and meet critical deadlines. - Resourceful with a positive attitude and able to work independently. - Ability to work with diverse Team across multiple geographies. - Candidate must possess at least a bachelor’s degree or Post Graduate Diploma or Professional Degree in any field. - Computer literate with proficiency in Microsoft Office applications. - Strong communication skills and able to interact with customers, vendors, and all levels of staff. - Preferred Healthcare experience candidate. - Preferred someone with hands on Office D365 and Oracle.
