As we continue to grow, we are looking for an Executive Assistant to the COO who can bring structure, execution excellence, and accountability to the COO's Office. **Role Overview** This is not a traditional administrative role. You will serve as the COO's execution partner, ensuring that leadership discussions translate into action, commitments are tracked, stakeholders remain aligned, and strategic priorities move forward without delays. The ideal candidate is highly organized, proactive, detail-oriented, and comfortable working with senior leadership in a fast-paced environment. **Key Responsibilities** Executive Office Management - Manage the COO's calendar based on business priorities. - Coordinate meetings with internal and external stakeholders. - Schedule follow-ups and ensure effective time management. - Prepare meeting agendas and required documents. Action & Commitment Tracking - Maintain a centralized tracker of all action items from meetings. - Assign owners, timelines, and expected outcomes. - Follow up regularly until completion. - Escalate delays and identify execution risks. - Ensure critical commitments never fall through the cracks. Meeting Management - Capture meeting minutes, decisions, and action points. - Share MOMs with stakeholders. - Monitor progress between meetings. - Review pending actions before every leadership discussion. Stakeholder Coordination - Work closely with business leaders across Operations, Sales, Finance, HR, Marketing, Technology, Hotels, and other functions. - Coordinate cross-functional initiatives. - Drive timely updates and ensure accountability across teams. - Resolve dependencies by connecting the right stakeholders. Business Reviews & Reporting - Prepare dashboards, trackers, and weekly execution reports. - Consolidate updates from multiple teams. - Highlight pending actions, risks, overdue items, and decisions requiring leadership attention. - Provide concise business summaries to the COO. Documentation & Special Projects - Maintain confidential business records, presentations, trackers, and reports. - Support strategic initiatives led by the COO. - Conduct research and basic business analysis whenever required. **What Success Looks Like** - All leadership action items are documented and tracked. - Stakeholders receive timely follow-ups. - Commitments are completed within agreed timelines. - Business reviews are well prepared and action-oriented. - Delays are identified before they become escalations. - The COO has complete visibility into ongoing priorities. - Leadership spends more time on decision-making than coordination. **Qualifications** **Experience** - 1–3 years of experience in Executive Assistant, Founder's Office, Business Operations, Program Management, Project Coordination, Consulting, or Strategy roles. - Exceptional fresh graduates with strong organizational skills may also be considered. **Skills Required** - Excellent communication and interpersonal skills. - Strong organizational and multitasking abilities. - High attention to detail and execution discipline. - Strong stakeholder management skills. - Ability to manage confidential information. - Proficiency in Microsoft Excel, PowerPoint, Google Workspace, and productivity tools. - Strong analytical and problem-solving skills. - Ability to work independently with minimal supervision. **Preferred Traits** We're looking for someone who: - Takes ownership of outcomes. - Is highly proactive and organized. - Can confidently interact with senior leaders. - Follows through until tasks are completed. - Thrives in a fast-paced, dynamic environment. - Has excellent judgment and prioritization skills. - Is adaptable and willing to travel when required. **Why Join Zolo?** This role offers a unique opportunity to work directly with the COO and gain exposure to leadership decision-making, strategic planning, business operations, and cross-functional execution.
