**Job Title** Deputy Manager- Soft service **Job Description Summary** **Job Description** PURPOSE OF ROLE: - Ensuring client's requirement are met through quality soft service delivery. Maintaining FM ser,'ice standard and managing all available resources in site Supporting facilities and utility systems in client site. PRIMARY ACCOUNTABILITIES - Preparing the site execution plan and conducting site day to day FM service based on the understanding of SOW and site FM requirements. - Working with Facility manager on complying with ERS, critical systems and statutory regulations. - Preparing periodic operation reports as required. Assisting in the development and execution of continuous improvement programme. - Maintaining all statutory records of all documents. - To lead soft services such as; House Keeping Services, Technicall related Pantry Services, Reception, Conference room mgmt, Catering, Stationary, Office Supplies & Services, Waste Mgmt and Pest Control, GYM, Medicat Services. To follow and implement atl processes & guidelines through regular trainings to staffs. Co-ordinating with the Vendors for PO/lnvoice to complete the activity. Record & monitor daily work orders PA/PPWSR and ensure closure as per SLA. Enhance service delivery through best practice and the effective use of systems and equipment. Ensure all necessary processes/procedures are in operation and adhered to. Seek opportunities to improve services and cost effective ways of working. Control and manage budgetary targets as delegated by FM directly/indirectly, input to, and deliver services within budget. Space management -Seat reconcile data. ID/Access card/visitor card Re-consolation data Timely submission of all Monthly reports/PPT / MIS as per requirement. - To prepare duty roasters I Shift roasters according to the job schedule. - Periodic facility walk thro' on hourly basis, to check the equipment / facility healthiness Upkeep of all equipments, ensuring 100% availability of spares for facility operation. Ensure the Electrical systems and substations are maintained to meet objectives in terms of operability. - Work with Facility Manager Technical/Building improvements thing to analyze and improve electrical aspects of asset performance, energy savings and implement associated best practices. - Shutdown job planning, scheduling, execution and reporting to manager on every job completion. Guide Operator / Technician with acquiring and managing equipment data with machine hour meter readings I logs being a top priority. Manage of data and documentation relevant to operation and maintenance of Electrical systems and equipment as well as prepare reports. Should follow the safety procedures / accident prevention strictly. - Should maintain the PPE's for its condition and brief its importance to the workers. - Maintain inventory of all material supplies and initiate work orders to replenish. Maintain all tools, parts and supplies in an organized manner, inform the Manager of any needs for replacement, restocking or repair of items. Perform all work as assigned by the Manager as deemed necessary to maintain and operate the facility at an optimum level. Coordinate with outsourced contractors for maintenance towards structural, mechanical and electrical systems. - Establish preventative maintenance schedules ensure inventories and records are maintained. Assume responsibility for completion of assigned tasks. - Supervise, train and evaluate assigned personnel. - Respond to emergencies in a timely manner. - Review the life period of all the electrical gadgets - Prepare reports, maintain inventories, and keep accurate records, order equipment and supplies. - Organize periodic PPM schedule and implement the concept of reliability. - To concentrate more on Energy saving. - To conduct periodic training classes to the working staffs, to motivate their skills. Review the CAMC tracker periodically for its healthy period. OTHER RESPONSIBILITIES: - To ensure that all staff comply to EHS requirements. - To ensure all Service Provider's representative have completed the safety training programs for contractors by the client. - To maintain and update documentation pertaining to all preventive maintenance schedule to the facilities. - To conduct regular service provider's performance reviews, covering work quality and customer satisfaction issues. - To undertake any additional duties as assigned by superiors as and when need arises. KEY PERFORMANCE INDICATORS: - Complete all preventive maintenance schedules in a timely and economic manner and adhere to client's EHS policies and requirements. - Promote positive relation with client and service providers - Sound knowledge and understand client's principles, processes, procedures Committed to client's safety polices.
