General Summary Job Summary: We are looking for an experienced **Manager Administration** to support in the planning and execution of site events initiatives, leadership visits, and site-wide experiences that foster a vibrant, inclusive, and high-performing workplace culture. Key Responsibilities - Support and coordinate day-to-day site administration activities to ensure a seamless workplace experience. - Ability to thrive in a fast-paced environment and manage multiple priorities simultaneously. - A proactive, solution-oriented mindset with attention to detail. - Partner with various support functions for smooth site event operations. - Support end-to-end event logistics, vendor partnerships, stakeholder coordination, and contingency planning. - Coordinate with internal stakeholders, external agencies, vendors, and facilities teams to ensure flawless site events initiatives. - Develop event timelines, trackers, risk mitigation plans, and post-event reports. - Support on procurement activities including PO creation, invoice processing, and expense tracking. - Manage relationships with event agencies, caterers, logistics partners, and other vendors while ensuring cost optimisation and service excellence. - Maintain annual event calendars, dashboards, trackers, and administration reports. - Contribute to the development and execution of an annual site events roadmap aligned with organisational objectives and site priorities. - Identify new ideas, operational improvements, and best practices that strengthen workplace experiences. - Prepare presentations, reports, and communication materials for leadership reviews. - Maintain and enhance SharePoint sites, internal portals, and documentation repositories. - Establish scalable event management processes, tools, templates, and governance mechanisms to support long-term programme success. - Effectively manage multiple projects and priorities while ensuring high-quality execution and stakeholder satisfaction. - Demonstrate strong communication, influencing, negotiation, and relationship-management skills when working across diverse stakeholder groups. Preferred Qualifications - Bachelor's degree in Business Administration, or a related field. - 7+ years of experience in Corporate Administration, Events, or a related function. - 2+ years of experience working within a large, matrixed organisation. - Strong presentation, communication, and project management skills. - Proficiency in Microsoft Office applications, SharePoint, collaboration tools, and data reporting. Minimum Qualifications Bachelor's degree and 5+ years of Office Administration or related work experience. OR Associate's degree and 7+ years of Office Administration or related work experience. OR High School Diploma or equivalent and 9+ years of Office Administration or related work experience. \\*Completed advanced degrees in a relevant field may be substituted for up to two years (Masters = one year, Doctorate = two years) of work experience.
