**Role & responsibilities** **Preferred candidate profile** This Pension Administrator role is responsible for executing defined, repeatable pension administration processes across clients, with a focus on payroll-cycle activities, member record maintenance, and compliance processing. Working closely with UK-based colleagues, this role ensures accurate and timely processing of pension transactions in line with agreed Service Level Agreements (SLAs), operational controls, and regulatory expectations. The role emphasizes data processing accuracy ensuring standard processes are followed and bespoke client requirements actioned. **Main Tasks:** To efficiently process all duties expected of a Pension Administrator, which includes: - **Core Pension Administration Processing** - Process pension payroll data, including uploading pay files and validating data within pension administration systems - Generate, review, and validate contribution schedules aligned to employer payroll cycles - Perform pre-submission checks, including data validation - Submit pension contribution data to providers and support payment processing workflows - Maintain accurate audit trails for all processing activities and ensure traceability of changes - **Member Lifecycle Administration** - Process member-level changes, e.g. new joiners, leavers, salary updates, contribution changes or scheme category updates - Maintain and update member records in pension administration platform in line with scheme rules - Process ad-hoc requests such as bonus contributions and lump sum adjustments - Track and log all changes within systems to ensure full auditability - **Auto-Enrollment & Regulatory Processing** - Execute auto-enrolment processes in line with UK legislation, including eligibility assessments per payroll cycle, opt-in / opt-out processing, re-enrolment activities - Support the preparation Declaration of Compliance - Identify and flag compliance risks or breaches (e.g. incorrect enrolment status) to UK colleagues - **Reconciliation, Validation & Controls** - Perform contribution reconciliations across payroll, client data, and pension provider records - Investigate and resolve discrepancies using defined procedures and escalation paths - Conduct data validation checks and quality assurance reviews prior to system submissions - Support scheme health checks - Ensure all work complies with internal controls and audit requirements - **Data Preparation & Data Handling** - Extract, cleanse and prepare data files received from employers or third-party platforms - Perform spreadsheet manipulation (e.g. filtering, data reformatting, validation) to meet system upload requirements - Process multi-source and multi-frequency data inputs (e.g. daily, weekly, monthly client files) - Apply standardised templates and documented process notes to ensure consistent output - Highlight data anomalies, structural issues, or non-standard inputs for UK colleagues investigation - **SLA & Workflow Management** - Prioritise workload to meet strict payroll-cycle deadlines and SLA requirements - Manage high-volume, repeatable tasks queues across multiple clients - Ensure timely competition of assigned work items, with clear tracking of outstanding activities - **Quality Assurance & Continuous Improvement** - Adhere to define quality standards and process documentation - Support continuous improvement initiatives to enhance process standardisation and efficiency - Maintain up-to-date knowledge of process documentation and operating procedures - **Collaboration with UK colleagues** - Work closely with UK based Pension Executives and Team Leaders - Escalate exceptions and client specific issues in a time **Qualifications / Skills** - CII qualifications desirable - Experience in a Customer Services role - Knowledge and experience of Pensions Administration is desirable - Experience with Excel, MS Teams and Outlook is necessary **Person specification:** - Focused on continuous improvement and developing standards - Highly organised and process-oriented, with a focus on consistency and accuracy. - Excellent interpersonal and business communication skills - One team company mindset with client always at the center of the process - Willingness to support the wider business with client delivery - Leads by example with a can do attitude
