Key ResponsibilitiesRFQ & Quotation Management - Review and process customer RFQs received via email and customer portals. - Identify spare parts based on customer requirements and equipment details. - Obtain pricing and lead times from suppliers and internal systems. - Prepare and submit accurate quotations within agreed timelines. - Follow up on outstanding quotations and customer feedback. Order Handling - Process customer purchase orders and create sales orders in the ERP system. - Verify pricing, quantities, delivery schedules, and commercial terms. - Coordinate with procurement, warehouse, and logistics teams for order fulfillment. - Monitor order status and provide timely updates to customers. - Resolve order discrepancies and delivery-related issues. Inbox Management - Manage and organize shared spare parts inboxes. - Prioritize emails based on urgency and customer requirements. - Ensure all RFQs, orders, and customer inquiries are acknowledged and assigned promptly. - Maintain response-time KPIs and ensure no customer request is overlooked. Price & Stock Verification - Check stock availability in ERP systems and warehouse databases. - Verify current pricing, discounts, and supplier quotations. - Coordinate with suppliers for updated lead times and stock information. - Communicate accurate availability and delivery commitments to customers. Customer Support & Coordination - Serve as the primary point of contact for spare parts inquiries. - Coordinate with sales, procurement, logistics, and technical teams. - Maintain strong customer relationships through professional communication. - Support after-sales service activities related to spare parts orders. Reporting & Documentation - Maintain records of RFQs, quotations, orders, and customer communications. - Generate periodic reports on quotation conversion, order intake, and backlog. - Ensure compliance with company procedures and documentation standards. Key Responsibilities - Create, update, and maintain: - Operator & Maintenance Manuals (OMM) - Workshop Manuals - Service Manuals - Instruction Manuals - Training Manuals - Develop and revise technical content in accordance with project requirements and documentation standards. - Create and update technical illustrations to support documentation deliverables. - Collaborate with engineering, product, and service teams to gather and validate technical information. - Ensure documentation accuracy, consistency, and compliance with customer requirements. Required Skills and QualificationsExperience - Minimum 4 years of experience in technical authoring and illustration. Technical Documentation - Strong experience in creating and updating: - Operator & Maintenance Manuals (OMM) - Workshop Manuals - Service Manuals - Instruction Manuals - Training Manuals Authoring Tools - Hands-on experience with: - Arbortext Editor - Oxygen XML Editor - Content Management Systems (CMS) Illustration & CAD Tools - Proficient in: - Adobe Illustrator - Adobe Photoshop - Working knowledge of: - SolidWorks - CATIA Soft Skills - Excellent written and verbal communication skills. - Strong interpersonal and collaboration abilities. - Positive attitude, ownership mindset, and commitment to quality. - Ability to work independently and within cross-functional teams. Preferred Qualification - Bachelor's degree in Engineering, Technical Communication, Mechanical Engineering, or a related discipline.
