Job Description Senior Administration Manager / Facilities & Administration Manager Position Title **Senior Administration Manager** Location - Pune Job Summary We are seeking an experienced and dynamic **Senior Administration Manager** to lead end-to-end administration, facilities management, workplace operations, vendor management, employee services, and statutory compliance across multiple office locations. The role will be responsible for creating a safe, efficient, and productive workplace while ensuring operational excellence and cost optimization. Key Responsibilities Administration & Facilities Management - Lead overall administration and facility operations for corporate offices. - Manage office infrastructure, maintenance, space planning, and seating allocation. - Ensure effective housekeeping, security, cafeteria, transport, and guest house management. - Drive workplace experience initiatives and employee engagement activities. - Monitor workplace health, safety, and environmental compliance. Vendor & Contract Management - Manage vendor selection, negotiations, onboarding, and performance reviews. - Ensure timely renewal of contracts, AMCs, and service agreements. - Drive cost optimization initiatives through strategic sourcing and vendor consolidation. - Track SLAs and ensure service delivery standards are met. Budget Management - Prepare annual administration and facilities budgets. - Monitor expenditures and maintain cost controls. - Generate monthly MIS reports and budget variance analysis. - Identify opportunities for operational efficiency and savings. Compliance & Risk Management - Ensure compliance with statutory, legal, and organizational policies. - Coordinate audits related to administration, facilities, and workplace safety. - Manage emergency response plans, fire safety systems, and evacuation drills. - Ensure adherence to ISO, EHS, and security standards where applicable. Employee Services - Oversee travel management, accommodation, employee transportation, and visitor management. - Ensure smooth onboarding support by providing workplace readiness. - Act as a key point of contact for employee facility-related concerns. - Enhance employee satisfaction through continuous workplace improvements. Team Leadership - Lead and mentor administration and facility teams. - Set performance objectives and conduct regular reviews. - Collaborate with HR, Finance, Procurement, IT, and Business teams. - Drive process improvements and digital transformation initiatives. Required Qualifications - Bachelor's Degree in Business Administration, Management, Facilities Management, or related field. - MBA preferred. - Professional certifications in Facilities Management or Workplace Management will be an added advantage. Experience - 15 to 18+ years of experience in Administration, Facilities Management, Corporate Services, or Workplace Operations. - Minimum 5 years in a managerial leadership role. - Experience in IT, Consulting, Manufacturing, BFSI, or Global Capability Centers preferred. - Exposure to multi-location administration management is highly desirable.
