Role & responsibilities Administration & Facility Management • Oversee day-to-day plant administration activities. • Manage office infrastructure, Garden, utilities, housekeeping, canteen, Employee transportation, and guest house operations. • Ensure proper maintenance of buildings, roads, parking areas, and common facilities. • Coordinate with vendors for facility maintenance and service contracts. 2. Security Management • Lead plant security operations and access control systems. • Ensure effective gate management, visitor management, and material movement controls. • Implement security policies to protect company assets, personnel, and confidential information. • Coordinate investigations of security breaches or incidents. 3. Statutory & Regulatory Compliance • Support to Ensure compliance with local laws, labor regulations, factory rules, and EHS requirements. • Coordinate renewals of licenses, permits, registrations, and certifications. • Maintain records required for audits, inspections, and regulatory authorities. 4. Vendor & Contract Management • Identify, evaluate, and manage service providers and contractors. • Negotiate contracts and monitor vendor performance. • Ensure timely procurement of administrative supplies and services. • Control costs and optimize administrative budgets. 5. Employee Welfare & Support Services • Manage employee transportation, canteen, accommodation, and welfare facilities. • Address employee grievances related to administrative services. • Organize employee engagement and welfare programs. • Ensure comfortable and safe working conditions for employees. 6. Environmental, Health & Safety (EHS) Support • Coordinate with EHS teams for safety initiatives and emergency preparedness. • Ensure compliance with safety regulations in administrative areas. • Participate in emergency response planning, mock drills, and risk mitigation activities. 7. Budgeting & Cost Control • Prepare and manage the administration department budget. • Monitor expenditures and implement cost-saving initiatives. • Ensure efficient utilization of resources and services. 8. Transportation & Logistics Support • Manage employee transportation and vehicle fleet operations. • Oversee travel arrangements, vehicle maintenance, and fuel management. • Coordinate logistics support for visitors, auditors, and senior management. 9. Liaison & External Relations • Maintain relationships with government authorities, local administration, and regulatory agencies. • Coordinate with local bodies for approvals and statutory requirements. • Represent the organization in community and local administrative matters. 10. GMP Audit & Documentation • Maintain proper administrative records and documentation. • Support internal, external, GMP, and regulatory audits. • Implement corrective and preventive actions arising from audit observations. 11. Contract Labour Management • Oversee deployment and management of contract workforce across plant operations. • Ensure compliance with the Contract Labour (Regulation & Abolition) Act, labor laws, minimum wage regulations, PF, ESI, Bonus, and other statutory requirements. • Verify contractor licenses, registrations, and statutory documentation. • Conduct periodic audits of contractors for legal and compliance adherence. Preferred candidate profile Candidate with 4-5 Years of Experience in Industrial Relations/ Factory Management. Qualification -MBA/ PGDM Preferred.
