Role & responsibilities : • Guest Relations & Front Office Management: • Welcome and assist clients, VIP guests, and senior stakeholders with warmth and professionalism. • Manage the reception area, ensuring it is clean, presentable, and aligned with brand standards. • Maintain a daily visitor log and coordinate access with security personnel. • Manage incoming calls, emails, and courier distribution, redirect inquiries to the appropriate departments. Client & Meeting Coordination: • Arrange meeting rooms, assist with AV setup, and provide hospitality during meetings (refreshments, welcome kits, brochures). • Coordinate with sales, CRM, and senior leadership to ensure a smooth guest journey during project or investment-related visits. Petty Cash Handling: • Maintain and disburse petty cash for approved office-related expenses (courier, stationery, transport, supplies). • Keep accurate records of all cash transactions, maintain vouchers, and submit timely expense reports for reconciliation. • Ensure petty cash limits are adhered to and replenishments are requested when needed. Travel Desk Management: • Coordinate travel bookings (flights, trains, cabs) and accommodation for employees, guests, or visiting consultants. • Manage airport pick-up/drop logistics for VIP guests and senior management. • Liaise with travel agents or vendors to ensure cost-effective and timely arrangements. • Maintain records of all bookings and ensure proper documentation is in place for audits or claims. Administrative Support: • Assist HR/Admin in coordinating internal events, conferences, and training sessions. • Monitor inventory of reception and pantry supplies, coordinate with vendors for replenishments. • Support facility management activities such as ID card issuance, meeting room scheduling, and maintenance coordination. . REPORTING TO: Site head LOCATION: Chembur, Deonar, Purva Clermont Preferred candidate profile : QUALIFICATION: Graduate in Hospitality, Communications, or Business Administration EXPERIENCE : • 3-5 years of experience in front office, guest relations, or administration roles (real estate, hospitality, or corporate environment preferred). • Graduate in Hospitality, Business Administration, or a related field. • Strong communication and interpersonal skills with a polished, professional demeanour. • Experience handling petty cash and basic finance documentation. • Proficiency in MS Office (Word, Excel, Outlook); knowledge of travel booking tools or visitor management systems is an advantage. • High attention to detail, discretion, and organizational ability.
