Facility Manager Position Title: Facility Manager Department: Corporate Real Estate / Integrated Facility Management (IFM) Reporting To: Director / Head Facilities / Corporate Real Estate Location: PAN India / Site-specific Role Purpose: The Facility Manager is responsible for end-to-end management of facility operations, ensuring seamless delivery ofhard services, soft services, workplace experience, ESG initiatives, and compliance, while maintaining high standards of safety, efficiency, and stakeholder satisfaction. This role acts as asingle point of accountability (SPOC)for all facility-related functions and plays a critical role inbusiness continuity, cost optimization, and employee experience enhancement. Key Responsibilities: 1. Hard Services Management (Technical Operations): - Oversee operations and maintenance of allcritical engineering systems, including: - HVAC systems (chillers, AHUs, FCUs) - Electrical systems (HT/LT panels, transformers, UPS, DG sets) - Plumbing systems, STP/ETP, water management - Fire life safety systems (hydrants, sprinklers, alarms) - Building Management Systems (BMS) - Ensurepreventive and predictive maintenance programsare implemented and tracked. - Maintainzero downtimefor critical systems through proactive monitoring. - ManageAMC contracts, vendor SLAs, and performance reviews. - Lead energy optimization and cost reduction initiatives. 2. Soft Services Management: - Manage housekeeping, pest control, landscaping, faade cleaning, and waste management. - Ensurehigh hygiene standardsacross all areas including workspaces, washrooms, cafeterias, and common areas. - ImplementSOPs and service benchmarksfor consistent service delivery. - Conduct regular audits and drive continuous improvement. - Overseecafeteria operations and vendor performance(if applicable). 3. Workplace Experience, Events Client Visits: - Plan and executecorporate events, leadership visits, and town halls. - ManageVIP visits, audits, and client walkthroughsensuring world-class experience. - Coordinate workspace readiness, branding, and hospitality services. - Ensure seamlessmeeting room management and space utilization. - Drive initiatives to enhanceemployee experience and engagement. 4. ESG (Environmental, Social, Governance) Sustainability - Lead ESG initiatives aligned with frameworks such asGRI, BRSR, and ISO 14001. - Drive programs on: - Energy efficiency and carbon footprint reduction - Waste segregation and recycling - Water conservation - Track and report ESG KPIs and metrics. - Support sustainability certifications such asLEED / IGBC / WELL. 5. CSR (Corporate Social Responsibility) - Coordinate CSR initiatives such as: - Community outreach programs - NGO partnerships - Donation drives and employee volunteering - Ensure alignment with company CSR strategy and compliance requirements. - Track CSR impact and reporting metrics. 6. Compliance, Risk Governance - Ensure adherence to allstatutory and regulatory requirements, including: - Fire safety norms - Electrical safety compliance - Labor laws and vendor compliance - Maintain alllicenses, permits, and audit documentation. - Conduct internal audits and support external audits (ISO, ESG, statutory). - DriveBusiness Continuity Planning (BCP)and emergency preparedness. 7. Vendor Builder Management - Manage relationships with: - Landlords/builders/developers - Facility vendors and service providers - Oversee lease compliance and coordinate with builders on: - Fit-outs and handovers - Infrastructure issues - Ensure vendor SLAs, KPIs, and contractual obligations are met. 8. Work Order Asset Management - ManageCMMS/CAF toolsfor: - Work order tracking and closure - Preventive maintenance scheduling - Asset lifecycle management - Ensure timely resolution of service requests. - Maintain asset registers and documentation. 9. Financial Budget Management - Prepare and managefacility budgets (OPEX CAPEX). - Track expenses, identify cost-saving opportunities, and optimize spend. - Manage procurement processes and vendor negotiations. - Ensure adherence to financial controls and audit requirements. 10. People Management Leadership - Lead and manage a team of: - Engineers - Supervisors - Soft service staff - Drive performance management, coaching, and development. - Ensure high levels ofteam engagement and productivity. - Manage staffing, rostering, and manpower planning. 11. Stakeholder Management - Act as akey interface between business units, leadership, and vendors. - Build strong relationships with internal stakeholders to understand requirements. - Provide regular MIS reports and dashboards to leadership. - Handle escalations and ensure high stakeholder satisfaction. 12. Training Capability Development - Conduct training programs for: - Safety and emergency response - SOP adherence - Technical skill enhancement - Ensure all staff are trained on compliance and operational standards. - Drive awareness programs on ESG, safety, and workplace policies. 13.
