Department - Admin Services office Designation - Sr.Assistant Manager Total work experience - 3 to 5 years • Manage day-to-day administration and facility operations across office locations. • Ensure smooth functioning of outsourced services including housekeeping, pantry, security, Xerox machines, and tea/coffee dispensers. • Oversee guest house management and upkeep to ensure quality standards. • Manage security services and housekeeping vendors, ensuring service excellence and compliance. • Handle vendor development, negotiations, and procurement activities to secure cost-effective commercial terms. • Manage courier, travel, stationery, and facility service providers. • Ensure contractor compliance with statutory requirements, labour laws, and Minimum Wages Act provisions. • Administer Annual Maintenance Contracts (AMCs) and service agreements for office infrastructure and equipment. • Manage printing, stationery procurement, inventory, and distribution. • Coordinate domestic and international travel bookings including flights, hotels, visas, and transportation. • Monitor office assets, maintain asset records, and coordinate asset maintenance. • Support planning and execution of employee engagement initiatives, corporate events, town halls, and leadership visits. • Review and validate administrative expenses, utility bills, and maintenance invoices before processing. • Ensure timely submission of vendor invoices to the Finance team for payment processing. • Monitor administration budgets and drive cost optimisation initiatives. • Ensure adherence to company policies, processes, and compliance requirements. • Coordinate Learning & Development programmes, training schedules, venue arrangements, and participant logistics. • Support employee induction, training workshops, and development initiatives. • Maintain training records, attendance reports, and learning calendars. • Assist in organising employee engagement activities, celebrations, rewards & recognition events, and other HR-led initiatives. • Liaise with internal stakeholders and external vendors to ensure seamless event execution. • Prepare administrative reports, MIS, and documentation related to facilities, vendor management, and training activities.
