Job Description Facility Executive Position: Facility Executive Department: Administration / Facilities Management Industry: Banking / Financial Services Reporting To: Facility Manager / Administration Head Location: Western Line Key Responsibilities 1. Facility & Infrastructure Management • Ensure proper upkeep and maintenance of bank branches, offices and other premises. • Coordinate preventive and corrective maintenance of electrical, plumbing, HVAC, civil and other infrastructure. • Conduct regular facility inspections and identify maintenance requirements. • Ensure timely resolution of facility-related complaints and breakdowns. • Monitor availability and functioning of essential utilities and services. 2. Housekeeping & Security Management • Supervise housekeeping and security services at assigned locations. • Ensure cleanliness, hygiene and overall upkeep of premises. • Coordinate with security agencies and ensure deployment as per approved manpower. • Monitor adherence to security and safety protocols. • Escalate any security or safety-related concerns to the concerned authority immediately. 3. Vendor Management • Coordinate with facility service providers, contractors and vendors. • Monitor vendor performance against agreed service levels. • Verify service completion and coordinate for timely submission of invoices. • Support vendor onboarding, documentation and renewal of service contracts. • Ensure services are delivered within approved budgets and organizational guidelines. 4. Administrative Support • Manage day-to-day administrative requirements related to branches/offices. • Coordinate movement, installation and maintenance of office equipment, furniture and fixtures. • Maintain records of facility assets, maintenance activities and vendor details. • Support branch/office shifting, renovation and relocation activities. • Coordinate with internal departments for facility-related requirements. 5. Health, Safety & Compliance • Ensure compliance with applicable safety, fire and emergency preparedness requirements. • Conduct periodic checks of fire extinguishers, fire alarms, emergency exits and other safety equipment. • Coordinate fire drills and other emergency preparedness activities. • Ensure required statutory certificates, licenses and facility-related documents are maintained and renewed on time. • Report any safety, compliance or operational risks to management. 6. Cost & Budget Management • Monitor facility-related expenses and ensure optimum utilization of resources. • Support preparation and tracking of facility budgets. • Identify opportunities for cost optimization without compromising service quality. • Validate vendor bills and ensure expenses are supported by appropriate documentation and approvals. 7. Branch & Business Support • Provide timely facility support to branches and business units. • Coordinate resolution of facility issues that may impact branch operations or customer service. • Support new branch openings, closures, renovations and relocation projects. • Ensure premises are ready for business operations within defined timelines. Key Performance Indicators (KPIs) • Timely resolution of facility complaints and maintenance issues. • Availability and uptime of critical infrastructure. • Housekeeping and security service quality. • Vendor performance and SLA adherence. • Timely completion of maintenance and facility projects. • Compliance with safety and statutory requirements. • Facility cost optimization and budget adherence. • Internal stakeholder satisfaction. Qualification & Experience • Graduate in any discipline; degree/diploma in Facility Management, Administration, Engineering or a related field will be an added advantage. • 2–5 years of relevant experience in facility management, administration or infrastructure operations, preferably in banking, financial services, corporate offices or similar organizations. • Experience in managing vendors, housekeeping, security and maintenance activities. • Good working knowledge of MS Office and basic reporting tools.
