Job description

**Role & responsibilities** 1. Receive medicines, surgical consumables, medical devices, and healthcare supplies from approved vendors as per purchase orders and delivery challans. 2. Verify the quantity, batch number, manufacturing date, expiry date, product specifications, and physical condition of all received materials before acceptance. 3. Ensure all pharmaceutical products comply with quality standards, statutory requirements, and hospital procurement policies. 4. Coordinate with the Purchase Department, vendors, quality teams, and user departments for discrepancies, shortages, damaged goods, or replacement of rejected materials. 5. Maintain proper storage conditions for medicines, including temperature-sensitive products, cold chain items, narcotics, controlled drugs, and high-value pharmaceuticals. 6. Monitor temperature and humidity records in storage areas and ensure compliance with Good Storage Practices (GSP) and regulatory requirements. 7. Ensure proper stock arrangement using FIFO (First In, First Out) and FEFO (First Expiry, First Out) inventory management principles. 8. Maintain accurate inventory records in the Hospital Information System (HIS)/ERP and perform timely Goods Receipt Note (GRN) entries. 9. Coordinate the timely distribution of medicines and consumables to inpatient pharmacies, outpatient pharmacies, operating theatres, ICUs, emergency departments, and other hospital units. 10. Monitor stock levels and support inventory planning to prevent stock-outs, overstocking, and expiry-related losses. 11. Conduct regular stock verification, cycle counts, and annual inventory audits while investigating inventory variances. 12. Identify and segregate expired, damaged, recalled, or near-expiry products and ensure proper documentation and disposal as per hospital policies. 13. Ensure compliance with the Drugs and Cosmetics Act, Pharmacy Act, NABH standards, and other applicable healthcare regulations. 14. Prepare inventory reports, stock movement reports, expiry reports, vendor performance reports, and management dashboards. 15. Support internal and external audits by maintaining complete documentation and inventory records. 16. Collaborate with Pharmacy, Biomedical, Procurement, Finance, and Quality teams to ensure smooth supply chain operations. 17. Participate in continuous improvement initiatives aimed at enhancing inventory accuracy, process efficiency, and cost optimization. 18. Adhere to hospital infection control practices, safety protocols, and occupational health guidelines while handling pharmaceutical products.
