Function: Legal & Secretarial Location: Bangalore Key Responsibilities: 1. Financial Responsibilities: • Sets Processes/Guidelines: • Establishes a standard framework for drafting legal documents based on past experiences, adapting it to meet specific project requirements. • Develops guidelines to ensure that legal documentation (e.g., Agreement to Sales) is prepared on time and is error-free. • Ensures zero errors in legal documentation. 2. Operational Responsibilities: • Legal Advisory Support: • Provides timely legal advice to internal departments on various concerns impacting legal issues. • Reviews and provides legal controls/checkpoints on contracts created by the Contracts team. • Creates and updates a legal knowledge repository related to laws, regulations, and ordinances specific to the real estate industry. • Meets defined Turnaround Time (TAT) for all advisory requests. • Legal Support in Society/Association Formation: • Oversees legal formalities required for the formation of Society/Association, including registration, drafting conveyance/sales deeds, and lease deeds. • Coordinates with Society/Association representatives to finalize deeds and legal documents. • Ensures timely completion of processes (TAT). • Deal Evaluation and Documentation: • Conducts due diligence on properties to confirm the legality of titles and their marketability. • Reviews contracts and documents used by the Business Development (BD) team, ensuring all legal and commercial terms are in place. • Drafts definitive agreements in collaboration with solicitors and regional legal personnel. • Conducts discussions with Joint Venture (JV) Partners on legal aspects. • Ensures no litigation and no delays in the deal evaluation process. • Review of Documents from Regions: • Transfers project files to regional teams after finalization of agreements. • Directly oversees regions without dedicated legal personnel. • Mentors regional legal teams, ensuring compliance with plans and timelines. • Reviews and resolves issues in documents submitted by regional legal teams. • Ensures adherence to TAT and maintains efficiency in document review. 3. Process Management: • Process Adherence: • Adheres to company-defined legal guidelines and processes. • Ensures compliance with project timelines. • Monitors process compliance and evaluates performance metrics. • Process Improvement: • Identifies and recommends improvements to streamline legal processes and enhance efficiency and productivity. • Implements initiatives that positively impact cost savings, productivity, and process efficiency. 4. Working Relationships: Internal Stakeholders: • Business Development: • Provides timely legal inputs regarding deals, land records, deal structure, and legal considerations. • Projects: • Coordinates with project teams to ensure that legal inputs are aligned with construction schedules and project requirements. • Liaison: • Works with government authorities to obtain necessary approvals, permits, and inputs. • Finance & Accounts: • Coordinates with the finance team for the timely release of payments related to legal matters. • Other Departments: • Advises other departments on legal concerns, agreements, and documentations. External Stakeholders: • JVP Advocates/Solicitors: • Coordinates with external advocates/solicitors for deal negotiations and clarifications on land records. • Lawyers and External Law Consultants: • Ensures continuous follow-up with external consultants on the drafting and review of agreements. • Customers: • Works closely with customers to understand their legal requirements for agreements. • Society/Association: • Assists in the facilitation and registration of Society/Association as part of the legal process. Key Performance Indicators (KPIs): • Zero errors in legal documentation. • Timely turnaround time (TAT) in providing legal advisory support and processing legal documents. • No litigation issues arising from legal deals. • Efficiency and adherence to project timelines. • Successful mentorship and guidance provided to regional legal teams. • Number of process improvements implemented and their impact on efficiency. Required Skills & Experience: • LLB degree with 10+ years of relevant experience in legal operations, real estate, or related fields. • Strong understanding of real estate laws, contracts, and legal frameworks. • Proven ability to manage legal documentation processes and deal evaluations. • Excellent communication and interpersonal skills for effective collaboration with internal and external stakeholders. • Ability to guide and mentor regional legal teams. • Proficiency in process improvement and legal compliance.
